For the purposes of data protection legislation, we are the data controller (registered address of Sevendale House, 7 Dale Street, Manchester, M1 1JA). This Privacy Policy explains our practices, including your choices regarding the collection, use, and disclosure of certain information by the urbanbubble group of companies.

When you enquire, own, rent, are party to or lease a property that we manage, create an account on our site(s), contact us (either via our website, in branch, on social media or by telephone), take part in customer satisfaction surveys, apply for a role, we may collect personal information about you, including:

In order for us to be able to process your personal information, we must rely on a certain legal bases as a data controller. The purposes for which we use your personal information and the legal basis on which we rely is as follows:

urbanbubble – Complaints Procedure urbanbubble strives to provide a high level of service; however we recognise that occasionally, we might not meet the high standards we set ourselves. If you are unhappy with our service, we’d like to know so we can put things right for you. Outlined below you’ll find some simple steps to take should you wish to make a complaint.

Stage One

We’d like to deal with your issue as quickly as possible. One of our team members (either onsite, in person, over the phone or via email) will attempt to resolve your complaint in the first instance.

Stage Two

If one of our team members is unable to resolve your complaint in the first instance, or you would like to raise a formal complaint, please send us a letter or an email using the contact details below. Clearly state ‘complaint’ in the title and include as much information as possible. All written complaints will be acknowledged within three working days and a member of the Senior Leadership Team will investigate and aim to respond, and fully resolve, your complaint to the satisfaction of both parties within 15 working days of sending the acknowledgement letter/email. In the event that we’re unable to do so within this timeframe but are still working on a solution, we will contact you to provide regular updates on our progress.

Stage Three

At this stage, if you are still not satisfied with the responses provided, we will arrange for a separate review to be undertaken by the Customer Service Executive.

The Customer Service Executive will acknowledge your complaint within three working days and endeavour to send a final viewpoint letter/email, resolving any issues to the satisfaction of both parties within 15 working days of sending the acknowledgement letter/email. In the event that we’re unable to do so within this timeframe but are still working on a solution, we will contact you to provide regular updates on our progress.

Please note that, dependant on the nature of the complaint and the length of time it has taken to resolve, urbanbubble may make the decision to class a complaint as Stage Three. If this is the case, you will be notified directly.

Who else can help?

If you are still not satisfied after the final stage of the in house complaints procedure outlined above (or more than eight weeks has elapsed since the formal complaint was first made) you can request an independent review from The Property Ombudsman, who will investigate your complaint without charge.

You will need to submit your complaint to the Property Ombudsman within 12 months of receiving our final viewpoint letter, including any evidence to support your case.

If at any time during the complaints process either party feels that the situation might benefit from the involvement of an independent mediator, this can be incorporated into the process. Although we acknowledge that mediation can help resolve problems in certain situations, we do not expect it to be necessary as we are more than happy to work and communicate directly with you throughout your complaints process. Stage Three

At this stage, if you are still not satisfied, we will arrange for a separate review to be undertaken by the General Manager.

· We will be able to see your activity on our customer portal(s); last log-in and requests

· Details of your interaction(s) with our team, such as the date, time, reason for contacting us and resolution, and if you call us, your phone number and call recordings

A CCTV system may monitor parts of the building or estate within which you own a property/ rent in / urbanbubble manage, for up to 24 hours a day. This data is recorded.

Type of personal data collected

In order to provide the Home Setup and Utility Management Services we may, in the course of provision of the services, share move-to and move-from addresses, moving dates, tenancy details, council tax status, and other data required for the provision of those services (including data relating to other occupants or household members) with Ethical Introductions Ltd (T/A Just Move In)

Who controls the personal data

Where a Tenant receives Home Setup Services provided by Just Move In then, for the purpose of fulfilling the contract for those services, we will need to also provide relevant personal data to Just Move In. Just Move In will store and be a controller of such personal data. Just Move In (full company name Ethical introductions Ltd) provides a privacy notice describing their use of data, available here: justmovein.com/privacy

Prop man will also need to add the below wording the end of tenancy documents;

[Agency Name] has partnered with Just Move In to assist with all your end of tenancy admin. All vacating tenants will receive this complimentary service which comprises sending change of occupancy notifications for council tax and utilities.

If requested, they will also be able to assist setting up optional services such as broadband, TV, phone, insurance, and/or other home or move related needs such as insurance, storage or removals for your new address (known as the “Home Setup Service”).

Please note for the purpose of fulfilling the contract for those services, we will need to provide relevant personal data to Just Move In. Just Move In will store and be a controller of such personal data. To confirm the scope of the service to be provided, you will be contacted by telephone, text or email by Just Move In. You will be able to opt out of this service from the received communication if you do not wish to use it.

Use of Information

What we do with the information

We use information to process a task, your registration, any orders (e.g fobs), enhance our services, your experience and to share relevant updates. For example, we use your information to:

All information, saved for credit/debit card payment which you have provided to us, is stored on our secure servers. All payment transactions will be encrypted using SSL technology. Where we have given you (or where you have chosen) a password which enables you to access certain parts of our websites, you are responsible for keeping this password confidential. We ask you not to share a password with anyone and to log out of any shared computers.

Access to Your Account and Profiles

For ease of access, you can save your portal log-in details so that you do not have to re-enter it every time you want to log-on. You can choose not to take advantage of this feature on your computer by unchecking the box “Remember me” when you log in to the website.

To sign out of your myurbanbubble account from your devices choose “Sign out,”. If you are using a public or shared device you should always log out at the end.

Although not recommended, you have the right to deactivate your account. To do this, email our data controller at datacontroller@urbanbubble.co.uk.

Your Choices

If you no longer want to receive certain communications from us via email or text, then where you are able to, you can click unsubscribe. Alternatively, email us at datacontroller@urbanbubble.co.uk and label as private and urgent and we will remove you from the list.

  1. The prospective Tenant(s) understands that the agent will retain the holding deposit if:

·The prospective Tenant(s) withdraws their application

·The prospective Tenant(s) fails to take reasonable steps to enter the tenancy

  1. The prospective Tenant(s) understand that should the Landlord withdraw the property they will receive a full refund of any funds that they may have paid on application. The Tenant(s) also understand that the landlord can withdraw the property at any point up to signing the AST.
  2. The prospective Tenant(s) understands that should the Landlord withdraw the property then there will be no liability on the part of urbanbubble for any costs incurred by either the Landlord or the Tenant(s).
  3. The prospective Tenant(s) understands that if they do not return the reference forms within 48 hours of receipt, they will then be deemed to have withdrawn their application.
  4. The prospective Tenant(s) agrees that should the references not be completed and accepted by Let Alliance by 24 hours prior to the provisional move in date, the landlord reserves the right to withdraw their application. Should the Landlord agree to wait for the references to be completed and accepted by Let Alliance, the Tenant(s) will remain liable for the terms and conditions of the tenancy agreement from the provisional move in date except in exceptional circumstances.
  5. The prospective Tenant(s) are aware that the property is taken on an as seen basis and it will not be cleared or modified before their occupation. Any items the prospective Tenants(s) would like to request must be agreed by the agent in writing.
  6. The prospective Tenant(s) are aware that all occupation dates are provisional until the signing of contracts. The prospective Tenant(s) are aware they should not book any services or removals until the signing of contracts and that if they chose to do so is at their own risk and cost.
  7. The prospective Tenant(s) are aware that if the property they are applying for is currently tenanted, then the existing tenants can legally change their move out dates. In such circumstances, the prospective Tenant(s) will receive a full refund of any funds they may have paid on application with no further liability on the part of the Landlord or his Agent.   8. The prospective Tenant(s) are aware that if the property they are applying for is currently tenanted, then the existing tenants can legally change their move out dates. In such circumstances the prospective Tenant(s) will be required to adjust their occupation date. If the new move in date isn’t suitable then the prospective Tenants(s) will receive a full refund of any funds they may have paid on application with no further liability on the part of the Landlord or his Agent. This can be ignored for vacant properties.
  9. The prospective Tenant(s) are aware that all prospective Tenants(s) need to have signed all paperwork on or before the day of occupation prior to any keys being released.
  10. The prospective Tenant(s) are aware that in advance of the day of move in they will be required to pay a minimum of one month’s rent and deposit. ALL funds must be cleared into the correct urbanbubble bank account before any keys can be released. Cheques or un-cleared funds are NOT
  11. Please be advised all Tenants must be present and bring photographic identification to the move in appointment. Should your identification not be available to view, we will be unable to move any Tenant(s) into the property.
  12. The prospective Tenant(s) are aware that all future rental payments must be made by standing order or direct debit.
  13. The prospective Tenant(s) understands that they are fully responsible for the installation, connection and disconnection of services such as phone line, satellite, cable TV or internet wherever they are in the property. It is the prospective Tenant(s) responsibility to ascertain the availability of any services they require wit the provider.
  14. The prospective Tenant(s) acknowledge that we will use your name, address, and contact details for the purposes of notifying your council tax, water, and energy suppliers at the property and for all purposes of setting up your account with them. We will pass these details to HelpTheMove who performs these services on our behalf.
  15. The prospective Tenant(s) are responsible for any extension of terrestrial television, phone lines, satellite, cable TV or internet to rooms beyond the main living room.
  16. The prospective Tenant(s) understands that keys and access fobs will only be provided to name Tenant(s) on the tenancy agreement.
  17. The prospective Tenant(s) acknowledges urbanbubble’s scale of fees below

·£50 inc VAT for change of sharer if required by the tenant or alteration in the tenancy agreement.

·Company lets fees are below

·Application fee £240 Inc VAT

·Tenancy renewal £120 Inc VAT

·Alteration to tenancy £50 Inc VAT

·The prospective Tenant(s) or company let accepts that if you wish to terminate your tenancy early you will be liable for all costs incurred to the landlord for re-letting the property as well as all rent due under the tenancy until the start date of the new tenancy.

·The prospective Tenant(s) or company let acknowledge that if the rent is delayed, urbanbubble will charge interest at 3% above the Bank of England base rate from the rent due date until it is paid. This cannot be levied until the rent is more than 14 days in arrears.

  1. The prospective Tenant(s) understands that a failure to pass any or all the required references may result in the application being terminated noting that the holding deposit is non-refundable.
  2. The prospective Tenant(s) understands that the results of these searches will be provided to urbanbubble by Let Alliance and accessed again in the event of a default in rental payments.
  3. The prospective Tenant(s) understands that urbanbubble can request the details of any credit reference agencies used so that the information provided can be verified.
  4. The prospective Tenant(s) understand that if they default on their tenancy obligations, this information may be released to authorise debt recovery agencies and could affect any future applications made for tenancies, credit and insurance.
  5. The prospective Tenant(s) understand that providing false information may lead to early termination of any subsequent tenancy agreement.
  6. The prospective Tenant(s) are happy for Let Alliance to contact me in respect to this application if required.
